Personal Part Time Assistant Location Hybrid work in Miami Shores, FL :

Job Summary We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills and the ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism while handling various responsibilities, ensuring smooth operations within the office.

Duties

  • Provide executive administrative support, including managing calendars and scheduling appointments.
  • Coordinate and plan events, ensuring all logistics are handled effectively.
  • Deliver outstanding customer service by addressing inquiries and providing assistance as needed.
  • Manage calendar appointments, including prioritizing meetings and ensuring timely follow-ups.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Utilize Google Suite for document creation, communication, and collaboration with team members.
  • Handle phone systems to manage incoming calls, take messages, and direct calls appropriately.
  • Prepare documents using DocuSign for electronic signatures and ensure all paperwork is completed in a timely manner.
  • Maintain an organized filing system for both physical and digital documents.

Qualifications

  • Proven experience in an executive administrative support role or similar position.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent communication skills, both verbal and written, with a focus on customer service.
  • Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential.
  • Familiarity with DocuSign for document management is preferred.
  • Ability to work independently as well as collaboratively within a team environment.
  • Strong attention to detail with a commitment to accuracy in all tasks performed.
  • Experience with event planning is a plus.
