Position Summary

Provides comprehensive initial and ongoing education and training to a diverse Patient Access population which includes Patient Access Representatives, Patient Access Specialists, and Discharge Financial Counselors. Education includes multiple system applications including registration, clinical (as it pertains to Patient access), scheduling, verification of insurance eligibility, imaging, eSignature, governmental regulations regarding forms, etc. as well as Patient Access processes specific to the area in which the trainee is to be assigned. Perform data quality review, statistical reporting and follow-up training and education as required. Develops education and training materials, newsletters, news flashes for new insurances and ensuring staff remain current in their knowledge. Assist with testing new computer programs and processes and coordinates, creates and provides the education for new software or hardware implementations.

Standard Work Duties: Patient Access Training Specialist

  • Create, maintain and administer the orientation and training curriculum to new or continuing education to tenured Patient Access or other employees on Patient Access-related systems and processes. Administers education and signs-off on employee competency of training. To assure that employees receive a successful education experience and achieve the knowledge that they need to be successful in their position, consistent communication is provided to the manager regarding an employee’s training progress so that remediation strategies may be implemented for employees who may be struggling.
  • Educates and trains new and tenured employees on completing accurate registrations, reading and interpreting insurance responses, obtaining authorizations, charge estimation tools, customer service skills, point of service notes and point of service collections. Provides specific training on LRH/s insurance eligibility/verification and quality assurance software. Administers and signs off on employee competency level at the completion of training.
  • Assure that new and tenured Patient Access and other employees performing insurance functions understand Medicare, Medicaid, Managed care, Commercial and Liability payer regulations and requirements, including the Birthday Rule, Payer Priority rules, appropriate payer set-up in the registration system, etc.
  • Provide Medicare Secondary Payer Questionnaire (MSP) training and assures that all Patient Access and other staff who are required to complete the MSP maintain competency by taking their annual on-line competency.
  • Acts as expert resource to all Patient Access areas for questions related to systems, processes, regulation, policies, Standard operating procedures (SOP’s), etc. Attends and participates in Staff Meetings.
  • Create and maintain departmental SOP’s as needed; creates and maintains all training material to support all existing and new programs/systems; revises and updates SOP’s as required. Performs and maintains a monthly QA of employees to insure that they are maintaining the required level of proficiency. Ability to assess employee low performance to determine training needs and implement appropriate training to ensure success.
  • Monitor a variety of reports to assure the accuracy and integrity of patient encounters. Provides feedback to the appropriate Supervisor/Manager as needed for employee follow-up. Participate in employee education action plans as needed.
  • As the Patient Access expert resource, the Trainer participates in Unit Testing, Integrated Testing and all other testing for a variety of new and current software systems. The Trainer is consistently at the forefront of all new systems being implemented in the Patient Access areas. As new systems and processes are implemented, the Patient Access Trainer provides expert and thoughtful advice regarding operations and processes. Performs analysis and special projects as directed by the Director of Patient Access.
  • Provides coverage for any of the Patient Access areas as needed.

Competencies & Skills

Essential:

  • Training or preceptor experience in a healthcare setting - including all facets of Patient Access.
  • Strong knowledge of Medicare, Medicaid, Managed Care, Commercial, Liability insurance regulations and requirements.
  • Demonstrated experience with monitoring data quality, analyzing and reporting as well as organizational and time management skills.
  • Demonstrated knowledge and experience with Word, Excel, PowerPoint, and Outlook (or other e-mail) applications.
  • Strong knowledge of EMTALA, MSP, Medical Necessity/ABN, Charity/Financial Assistance regulations.

Nonessential:

  • Demonstrated knowledge of hospital Revenue Cycle process and the role that Patient Access plays in that process.

  • High School or Equivalent

Other information:

Experience Essential:

Minimum of three of years of experience in hospital registration.

Minimum one year preceptor or training experience in a hospital Patient Access or Patient Financial Services setting.

Demonstrated active participation in a committee or project that achieved successful outcomes and key performance indicators were met.

Experience Preferred:

Three years of experience in hospital registration as a preceptor or trainer with demonstrated training experience.

Proven training experience with a diverse group to include presenting in a classroom, one-on-one, and the ability to train or present to large groups (over 25 people).

Two to three years of educational program administration, public speaking, and project coordination.

Certification Preferred:

Preceptor certification.
