The opportunity

We are seeking a highly organized and proactive  Office Administrator & Management Assistant to ensure the smooth operation of our office and provide comprehensive support to the management team. This role is central to maintaining an efficient, well-functioning workplace and includes responsibilities that span office administration, executive assistance, and coordination with internal and external stakeholders .

How you’ll spend your day

Office Administration (Primary Focus)

  • Office Operations: Manage day-to-day office activities, including maintaining supplies, coordinating with vendors, and ensuring a professional and organized environment.
  • Facilities & Equipment: Oversee office maintenance, liaise with building management, and ensure all equipment is functional.
  • Record Management: Maintain accurate files, databases, and documentation for compliance and easy retrieval.
  • Expense & Invoice Processing Track office & travel related budgets, process invoices, and manage related expense reports
  • Reception Duties: Welcome visitors, manage incoming calls, and handle general inquiries.

Executive & Team Support

  • Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives.
  • Communication Handling: Manage emails, phone calls, and correspondence on behalf of executives.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on action items.
  • Document Preparation: Draft reports, presentations, and correspondence as needed.
  • Confidentiality: Handle sensitive information with the highest level of discretion.

Project & Stakeholder Coordination

  • Project Assistance: Support various projects by conducting research, compiling data, and creating reports.
  • Stakeholder Liaison: Act as a point of contact between the office, management team, and internal/external stakeholders.

Your experience and qualifications

  • Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Experience: 3+ years in office administration or executive support roles.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools (Google Calendar, Zoom, Microsoft Teams).
  • Communication Skills: Strong verbal and written communication skills (English & Serbian).
  • Organizational Skills: Exceptional ability to multitask, prioritize, and meet deadlines.
  • Problem-Solving: Proactive approach with strong decision-making abilities.
  • Discretion & Confidentiality: Ability to handle confidential information with integrity and professionalism.

Preferred Qualifications

  • Experience in a corporate or management-level setting.
  • Familiarity with project management tools (Asana, Trello, Monday.com).
  • Ability to adapt to changing priorities and work under pressure.
