Job Description

We’re proud to partner with one of the most respected Vault 100 law firms headquartered in New York City, currently seeking a sharp, reliable, and detail-oriented Administrative Assistant for their NYC office.

This is a fantastic opportunity to support high-level legal professionals in a fast-paced, collaborative environment, with exposure to complex legal matters and firmwide operations.

About the Role:

Reporting to the Director of Executive and Administrative Assistants, this role will partner closely with team members across multiple offices, including New York. The ideal candidate is organized, responsive, and eager to contribute to a fast-paced, high-performing environment.

Key Responsibilities:

  • Manage correspondence between team members, vendors, and clients
  • Answer and direct incoming calls professionally
  • Schedule meetings and appointments
  • Prepare and format documents and reports
  • Maintain and update spreadsheets
  • Prepare invoices and verify supporting documentation
  • Submit expense reports and reconcile receipts
  • Support attorney timekeeping entries
  • Coordinate meetings, food orders, and tech support when needed
  • Assist with small event planning and team dinners

  • Calm, professional demeanor and ability to maintain confidentiality
  • Flexibility to adapt to shifting priorities
  • Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint)
  • Tech-savvy and quick to learn new systems

Preferred (but not required):

  • Experience with billing systems

Schedule:

This is a hybrid role with an expectation of a minimum of 3 days in the office per week . Flexibility may be required based on business needs.
