Role Overview

The Final Tracing Specialist works with The Contract Administration Division which purpose is to develop and execute contracts with our vendors (consultants and contractors). They sends a contract list 12 weeks ahead for letting that would need to have all the final tracing reviewed and approved for advertising. The final tracing specialist is responsible for reviewing these plans (check for des, contract and structure number, engineer signature,stamp and dates) once this process is completed, a notification is sent to the Head Road and Bridge Engineer for signatures for approval. Email notifications from the District Coordinators are sent to the Final Tracing Specialist about construction changes uploaded in ERMS for review and approval. Last minute changes could be made that would need immediate attention and review for letting. Time management and attention to detail is very important as all plans need to be review for letting for contracts to be awarded. There are roughly 2603 files review by the Final Tracing Specialist every year for letting. This allows all contracts to be posted for bids and constructions projects to be completed by INDOT contractors.  


Salary

The salary for this position traditionally starts at $42,900.00 but may be commensurate with education or work experience.

 

A Day in the Life:

The essential functions of this role are as follows:

  • Research and compile information on specific aspects of the program such as procedures, needs and policies.
  • Answer customer questions about program policies and procedures.
  • Establish, organize, and maintain current and historical files related to the program.
  • Assist in the preparation of program reports, develop applications, prepare budget allocations and/or purchasing of consultative services.
  • Maintain, monitor, and order program assets.
  • Assist supervisor in the development and planning of overall program and its role in the functioning of the agency.
  • Schedule, prepare, and disseminate all program related training materials.

  • Ability to communicate effectively. 
  • Ability to operate effectively in a group decision-making process.
  • Tact in dealing with other agency personnel and the public.
  • Specialized knowledge of accounting and budgeting.
  • Able to perform essential functions with or without reasonable accommodation.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
