Arconic is currently in search of ADMINISTRATOR, LEGAL AND COMPLIANCE to join our Legal Team based in Pittsburgh, PA.

Job Summary:

This position will support the Legal and Compliance Department and will provide sophisticated executive support, research, and project coordination. This position will provide support to the company's attorneys and compliance manager, manage and execute legal and compliance processes such as drafting documents; act as a liaison between attorneys, internal subject matter experts, and external counsel; and follow, develop and/or implement workflows to ensure efficiency and compliance. This position requires a high degree of sensitivity and discretion in dealing with legal, confidential, and proprietary matters, excellent organizational skills and attention to detail, a proactive, customer-focused mindset, proficiency with Microsoft Office, Excel, PowerPoint, social media, strong collaboration and communications skills.

In this role, you will:

Legal Department Support:

  • Responsible for the execution of day-to-day requirements of Arconic’s e-billing system including but not limited to, timekeeper approvals, onboarding new law firms, new matter set up, and report generation.
  • Maintain a contact and responsibility list of all approved outside law firms and serve as the key point-of-contact for Legal Department team members when seeking to engage outside counsel for new matters.
  • Act as a system owner for the Legal Department’s SharePoint sites and internal portal sites with respect to forms management, presentations and training materials, preventative law communications, etc.
  • Assist in the maintenance of a matter management database, including opening new and closing resolved matters, tracking case updates, and preparing periodic reports.
  • Support the Legal Department on special projects as assigned.
  • Coordinate input for recurring Legal and Compliance Department meetings and assist in preparing presentation materials pertinent to the same.

Intellectual Property Support:

  • Support Assistant General Counsel, IP with preparing agendas for monthly Intellectual Property Committee meetings and follow up on items from the meetings as necessary.
  • Open and maintain trademark, patent and general matters in Arconic’s intellectual property management system as well as Arconic’s e-billing system.
  • Assist in establishing and evidencing proper use of Arconic trademarks.
  • Provide administrative support to the non-disclosure agreement (NDA) process.

Compliance Support:

  • Support Compliance Manager with administration of the trade compliance and intermediary processes within Descartes and the Dow Jones Portal.
  • Assist with the data privacy requests and initiate workflow approval process.
  • Provide preliminary review for gifts and entertainment requests.
  • Support company charitable contribution review and approval process and the annual conflict of interest disclosure process.
  • Other duties as assigned.

He/she must be persuasive, firm and focused on successful completion or resolution of numerous daily issues and tasks.
  • Possess attention to detail - Accurate documentation of details is a very high requirement for this position.

You have: (required)

  • Associate’s degree from an accredited institution.
  • Paralegal certification or degree.
  • 5 years’ minimum experience in a similar role in an in-house position or a combination of years of experience with some experience gained in an in-house role and some at a law firm.
  • Technical proficiency in Microsoft Word, Excel, PowerPoint, Microsoft SharePoint, and similar tools
  • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.

Exceptional Candidates also have: (preferred)

  • Ten years’ experience in a similar role
  • Bachelor’s degree from an accredited institution
  • Commissioned Notary Public
  • Excellent written and oral communication skills for effective interaction with diverse internal and external parties.
  • Strong understanding of legal terminology and the ability to research and learn complex legal issues.
  • Ability to manage multiple complex projects, organize files, and meet deadlines.
  • A high degree of accuracy and thoroughness in all tasks, from drafting to data entry.
  • A commercial mindset and the ability to understand business goals to support the legal needs of the company.
  • Advanced computer and legal software skills for data management and document automation.
